Privacy Policy

How we handle your information.

1. Who this policy is from

One Love Muay Thai is operated by VNJR Enterprises Pty Ltd (Rear, Lvl 1 – 406-408 Sydney Road, Coburg, VIC, 3058). This policy explains what personal information we collect, why we collect it, who we give it to, and how you can see or correct it. It covers this website, your membership, and visits by guests. It sits alongside our Terms of Service.

2. What we collect

From members, when you sign up and while you train with us:

  • Your name, email address and phone number.
  • Your emergency contact's name and phone number — which means we hold a small amount of information about them, given to us by you.
  • Any medical conditions, injuries or allergies you tell us about. This is health information, treated as sensitive information (see section 4).
  • If the member is under 18, the name and phone number of their parent or guardian.
  • A record of the waiver you signed — which version, and the date and time you agreed to it.
  • Your bookings, attendance, class credits and membership history, including pauses and cancellations.
  • Payment records: the amount, date and status of each payment, and the customer and subscription identifiers Stripe gives us. We never receive or store your card number.
  • How you heard about us, if you tell us, and — where you arrived from a tagged link — the campaign details in that link and the first page you landed on.
  • Emails and messages you send us.

From guests brought in on a member's guest pass: the member gives us your name, email address and phone number so we can send you the waiver. Everything else — your emergency contact, any medical information, your agreement to the waiver, and whether you want to hear from us — comes from you, on the form you sign yourself.

3. Why we collect it

To set up and run your membership; to take payment; to run class bookings, waitlists and attendance; to keep you safe while training and to respond properly if you are injured; to keep a record that you agreed to our waiver; to answer your questions; to understand which of our efforts actually bring people through the door; and — only if you have agreed to it — to send you news about classes, courses and events.

4. Health information

Medical conditions, injuries and allergies are sensitive information, and we collect them only with your consent, which you give when you sign the waiver. We use them for one purpose: your safety while training. Coaches see them on the class roster so they can adapt a session or respond to an incident, and we will give them to paramedics or a treating doctor in an emergency. We do not use them for marketing, and we do not share them with anyone else.

5. Who we share it with

We use a small number of service providers to run the gym:

  • Stripe — payments, card details and billing.
  • Supabase — the database holding member, booking and waiver records.
  • Resend — sending our emails.
  • Vercel — hosting this website.

Beyond that, we share your information with ambulance or medical staff if you need treatment, with our insurer or professional advisers if there is a claim, and where the law requires it. We do not sell your information, and we do not disclose it for anyone else's marketing.

6. Information stored overseas

Some of the providers above store or process data outside Australia, including in the United States. By giving us your information you consent to it being handled that way. We choose providers that publish their security and privacy practices, but overseas handling means the protections that apply may differ from Australian privacy law.

7. Marketing, and how to stop it

We only send marketing email to people who have agreed to receive it — members who opted in, and guests who ticked the box on their own waiver form. Ticking it is never a condition of training. Every marketing email has an unsubscribe link, and you can also just email hello@onelovemuaythai.com.au and we will take you off the list. Emails about your own membership — a receipt, a failed payment, a cancelled class — are not marketing and will keep coming while you are a member.

8. How we keep it safe

Member records are held in a database that is not readable from the public internet; access is restricted so that members can see only their own record, coaches can see only what they need for the class in front of them, and full access is limited to the owner. Card numbers never reach our systems. Access to the systems above is protected by individual accounts, not a shared password.

9. How long we keep it

We keep your membership, booking and payment records while you are a member and for seven years afterwards, which covers tax and business record-keeping.

Waivers, health declarations and any incident records we keep for at least seven years after your last visit — and, for anyone who trained with us before turning 18, until at least their 25th birthday — because a claim about an injury can be made long after the training it relates to. Guest records are kept on the same basis.

When information is no longer needed for any of these purposes, we delete it or de-identify it.

10. Seeing and correcting your information

You can ask us for a copy of the personal information we hold about you, ask us to correct anything that is wrong, or ask us to delete it. Email hello@onelovemuaythai.com.au. We will respond within 30 days. We may need to keep some records even after a deletion request — the waiver and incident records described above are the main example — and if so we will tell you what we are keeping and why.

11. Complaints

If you think we have mishandled your personal information, email hello@onelovemuaythai.com.au and we will look into it and reply within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

12. Cookies

This site uses two cookies. One keeps you logged in to your member portal. The other records how you first arrived — for example, which campaign link you followed — and lasts 30 days; it exists so we can tell which of our local efforts are working. We do not use third-party advertising or tracking cookies.

13. Changes to this policy

We may update this policy. The effective date at the top of this page tells you when the current version took effect, and we will email members before a change that materially affects them.
